About NorthernStar Mothers Milk Bank NorthernStar Mothers Milk Bank is a not-for-profit organization dedicated to providing safe, pasteurized donor human milk to medically vulnerable infants across Canada. Working in partnership with healthcare providers, community advocates, and families, NorthernStar plays a critical role in improving neonatal outcomes and supporting infant health.

Role OverviewThe Donor Relations & Screening Coordinator plays a central role in ensuring the safety, quality, and integrity of the donor milk supply. This position guides prospective and active donors through a structured screening and onboarding process, combining science-based assessment with thoughtful, relationship-focused communication.

This role requires sound judgment, attention to detail, and the ability to manage sensitive health information with professionalism and discretion. It is well suited to someone who is both clinically grounded and highly effective in donor-facing interactions.

Key Responsibilities

  • Conduct donor intake and screening via phone and email, following established clinical and safety protocols

  • Review detailed health histories and lifestyle information to assess donor eligibility

  • Apply screening criteria consistently and make eligibility determinations within defined guidelines

  • Communicate decisions clearly and professionally, including navigating sensitive or complex conversations

  • Build and maintain trust-based relationships with donors throughout their experience

  • Respond to donor inquiries with accuracy, clarity, and timeliness

  • Maintain thorough, confidential records in accordance with privacy and regulatory standards

  • Welcome and assist donors in person as needed, contributing to a professional and supportive environment

  • Collaborate with internal team members to ensure continuity and quality of the donor experience

Minimum Qualifications

  • Post-secondary education in health sciences, nursing, biology, or a clinically oriented discipline with a strong foundation in human physiology and health assessment

  • Demonstrated experience in a client-facing or customer service role

  • Excellent written and verbal communication skills in English, with the ability to lead structured, protocol-driven conversations involving personal health information

  • High level of professionalism, discretion, and attention to detail

Preferred Qualifications

  • Nursing, clinical, or medical office experience

  • Hands-on experience in a clinical, medical, or regulated health environment

  • Experience conducting patient intake, donor screening, or working with detailed health histories

  • Demonstrated ability to apply established protocols and make eligibility determinations within defined guidelines

Core Competencies

  • Sound judgment and consistency in applying screening protocols

  • Ability to conduct focused, structured conversations involving personal health information

  • Comfort navigating sensitive discussions while maintaining clear boundaries and professionalism

  • Strong organizational skills and comfort with detailed, desk-based work

  • Commitment to confidentiality and ethical handling of personal health information

Schedule & Occasional Outreach

  • Regular hours are Monday to Thursday, 8:30 am to 4:30 pm

  • Fridays are flexible, with 4 to 8 hour shifts scheduled based on operational needs

  • Occasional outreach at community or partner events (approximately one half-day Saturday per month)

Compensation Remuneration will be based on candidate experience and qualifications. Health and dental benefits are available after 3 months of employment.

  • Primarily desk-based, with significant phone and email communication

  • Regular interaction with donors both virtually and in person
